PICTURE DAY - SATURDAY, OCTOBER 5, 2019
Picture Day is a big undertaking – more than 1450 kids will have their pictures taken in the course of a few hours. Please make every effort to be on time and to cooperate with volunteers who will be helping. Speaking of volunteers, it takes about 100 volunteers to support Picture Day, so please sign up here to help out with this very important activity.
A basic picture package that includes a team photo, 4 player wallet photos, and a photo button is already provided for all players as part of our registration fees. Parents should fill out the order form and bring money on picture day ONLY if they want extra prints or specialty items.
ARRIVAL INFORMATION:
Unless your team has an 8 a.m. game, you must arrive 90 minutes before your scheduled game time.
Teams with 8 a.m. games:
• 10U, 12U, and 14U teams with 8 a.m. games only must arrive at 7 a.m. sharp.
• 6U, 7U, and 8U teams with 8 a.m. games only come immediately after your game.
Jamboree:
5U/Jamboree photos will be taken immediately after your session.
Teams with games at other parks:
Come any time before 1:30 p.m. If you come after 1:30 p.m. you might miss the photographer.
TEAM PARENT INFORMATION:
• Please check in at the picture day tent after ALL your players and coaches have arrived. Ask your team to stand nearby, lined up shortest to tallest.
• Bring your completed TEAM INFORMATION SHEET with you to the tent.
• At the tent, we will ask you to quickly double-check the TEAM INFORMATION SHEET against a printed roster from Blue Sombrero.
• We will give you an I.D. sheet with your team number and team name on it. Give it to the photographer so she or he can snap a quick photo of it, so we will know later which team is which.
• Word of advice: Having your paperwork done ahead of time will reduce headaches and additional waiting time.
TEAM INFORMATION SHEET:
Please download and fill in the highlighted boxes on the TEAM INFORMATION SHEET before you arrive at the park and print it and bring it with you. Turning in a completed form as soon as your entire team is available will speed up the process so your team can finish pictures as quickly as possible and get to their game. Please note the following when completing the form:
• On lower left hand side of the form, list ALL PLAYERS ASSIGNED TO THE TEAM even if they are not present for the picture
• List players’ names as they want them to appear in the yearbook and on their trophy (for example, list Bill Smith instead of William Smith).
• On the lower right hand side, list (for a second time) players who are not present for the picture.
LOGISTICS:
A little preparation with your team will really help to make everything go smoothly. Here is what we need from you:
1. Please make sure everyone on your team understands that they must arrive 90 minutes before game time (unless your team has one of the arrival time exceptions noted above) and that should fill out the order form and bring money on picture day ONLY if they want extra prints or specialty items.
2. Coordinate a meeting time and place for your team. (Most teams assemble near the snack bar.)
3. Understand that the only adults allowed inside the picture day area are coaches and team parents. Please remind parents ahead of time.
4. Recruit at least one parent to stay with all the team’s stuff while the team is in the picture day area. Players and coaches will not be allowed to bring in backpacks, pop up tents, coolers, coach’s bags and equipment, etc., into the picture day area.
5. Line your players up before you check in, shortest to tallest.
ADDITIONAL PHOTO ORDERS:
Every player automatically receives, at no additional cost, the standard picture packet:
1 – 8”x10” Team picture
4 – wallet pictures, and
1 – Photo button
If you only want the basic package, DO NOT FILL OUT THE ORDER FORM.
Parents may order additional photos by bringing a completed order form with them along with payment as set forth on the form.
